Office Manager / Administrative Assistant – ideally part-time (but would consider full time for the right person)

Our client, Ceres Holographics Ltd is a small but dynamic high-tech company on a path of considerable growth and expansion with a growing list of international customers across the automotive and consumer electronics sectors.  

The company is seeking an Office Manager / Administration Assistant to take responsibility for the Company’s administrative function working closely with the CEO, Commercial, Financial and Technical teams.  This opportunity is perfect for the candidate who wishes to help create a positive, stable, and organized environment that supports the team as the company grows rapidly.  

As Ceres Holographic’s Office Manager / Admin Assistant you will:

  • Assist management and team with day-to-day tasks, operations
  • Assist with invoicing, receipting, budget tracking, and accounts receivable collections
  • Assist with entering vendor invoices, handling incentive inquiries, and other data input and filing
  • Answer and route calls and distribute daily mail
  • Ensure customers, guests are greeted and assisted in a friendly manner
  • Assist with meetings, material distribution, product shipping and travel arrangements
  • Organize, order, and maintain office and kitchen supplies
  • Coordinate dealings with landlords, insurance companies, payroll
  • Maintain contact databases, spreadsheets, and prepare reports/documents
  • Assist in carrying out various human resources programs and procedures
  • Maintain HR-related records and compile reports from databases
  • Organize, manage, and participate in company visits or events
  • Help to maintain human resource information,  and employee details
  • Maintain cleanliness of common areas, including lobby, kitchen, and meeting rooms
  • Procure and manage various non-technical office supplies


To be considered as Ceres Holographic’s Office Manager / Admin Assistant your skills/experience should include:

  • A qualification in business, human resources, or equivalent and relevant combinations of education and experience will be useful. Additionally, administrative support experience in any marketing/sales function would be highly advantageous
  • Strong communication and interpersonal skills with the ability to interact with all levels of the organization
  • Ability to work independently and in a professional manner
  • Highly proficient in Microsoft Office including Word, Excel, PowerPoint, and Outlook
  • Flexible, adaptable, and able to manage change in a fast-paced work environment

Hours: Flexible, full-time or part-time considered for the right candidate. Min 21hrs/week

Salary: Commensurate with experience, but flexible for the exceptional candidate
